Summary of Position

The Accounting Administrative Assistant will assist in the preparation of billing, donation receipts and will maintain files specific to the organization’s billing and manage donations in Quickbooks. The position will also provide support for other accounting processes and activities required to meet set deadlines.

Primary Responsibilities

  • Review AP / AR, donation and pledge invoices, ensure all required documentation is received and matches to change order
  • Research issues with invoices and follows to resolution
  • Prepare invoices for the vendors, donors and assist with tax receipts
  • Assist with AP/AR activity to meet deadlines; research AP/AR issues as requested
  • Assist with month end close processes as requested and follow up with donors for their requests
  • Prepare donation receipts and other receipts as need be
  • Other reporting and billing activities as requested

Education and Experience

  • Associates degree in Accounting or Finance with Bachelor’s degree preferred
  • 2-3 years accounting experience with previous experience in non-profit, Quickbooks, administrative service provider preferred
  • Previous experience with Quickbooks software preferred
  • Demonstrated ability to prioritize work to meet set deadlines
  • Ability to seek out information and resolve issues
  • Comfortable interfacing with both customers, vendors, donors, internal teams and other stakeholders
  • Ability to use shared workflow technology (Microsoft Office, SharePoint and Google Docs)
